Start with your people

An Administrator can import a CSV from People → Import or export people. Download the sample, fill in names and optional planning categories, then preview the upload. Matching names are skipped; correct errors and upload again. Importing people does not create login accounts.

Invite your planning team

In Unit settings, create an invitation for an email address and role. Copy the link and send it yourself. The recipient signs in using the invited email address. Keep at least two Administrators so your unit can manage access when leaders change.

Understand roles

Administrators manage unit settings and access. Planners prepare meetings and update assignments. Viewers have an agenda-focused view for browsing upcoming and past meeting plans; they cannot change planning records. Membership in another unit does not give anyone access to this unit.

Visiting speakers and rotation

Mark a person as a Visiting speaker to keep them out of normal speaker suggestions while retaining their assignments in history. Unit members can also be excluded from rotation without making their record inactive.

Events

Add local events, conferences, and holidays under Events. Dates and optional times use the unit’s local time. These records provide planning context; automatic announcements are a later feature.

Plan a meeting

Choose Plan a meeting, set a date and time, and select a template. You can create a weekly series. Each agenda is a copy: editing one meeting does not change your templates or other meetings.

Assign speakers and prayers

Open the agenda and choose Assign person. Choose the person (longest since speaking first), optional topic, speaking time, and status. New assignments start as Considered. Use Invited while waiting for a response, then Accepted, Declined, or Confirmed; Completed records a delivered assignment. No invitation messages are automatically sent.

Keep participation history accurate

Mark both the meeting and delivered speaking assignments Completed to update last-spoke dates. You can enter an earlier last-spoke date on a person’s profile. No recorded talk does not prove the person has never spoken.

Use planning categories

Adult, Youth, Child, and Not specified are optional planning categories. No birthdate is needed. Update a category manually when appropriate. Adult talks initially suggest 10 minutes and youth talks 5; each assignment can be adjusted.

Choose music and templates

Unit settings contains the song library and meeting templates. Search music by number, title, or book. Add custom songs or copy and edit templates. Song numbers appear on agendas.

Estimate the meeting length

The planning view totals speaker times and estimates entered for other agenda items. Include the sacrament, announcements, prayers, and transitions. Missing estimates are flagged. An over-time warning does not prevent saving.

Print or share an agenda

Use Print agenda for a clean copy. Administrators can create a public agenda link. Public agendas exclude private preparation and leadership notes. Anyone with the link may read it, so review agenda text before sharing. Canceled meetings retain a cancellation notice.

Moving to another unit

Ask your new unit for an invitation using your existing email address. Each unit manages membership separately. Your former unit can revoke access without affecting your new unit.

Additional agenda notes

In Unit settings, save persistent agenda notes such as missionary names. They appear at the bottom of printed, copied, and public agendas every week until you change them.

Trouble saving?

If another leader saved changes first, reload the latest records before editing again. If access has been revoked, contact a unit Administrator. Do not repeatedly submit an old copy.
